Privacy Policy

ReadyRoute Answers (RRA) is an operational-reference service for authorized drivers. It supports trained drivers and does not replace required training, a manager, or station direction.

Information we collect

We collect account and driver details needed to authenticate authorized users, questions submitted to RRA, answers returned, feedback, app usage and diagnostics, and support communications. Do not include names, phone numbers, addresses, tracking numbers, or other personal information in a question.

How questions are processed

RRA first checks ReadyRoute's approved procedures. When an authorized company representative enables AI language interpretation for the company, ReadyRoute may send a driver's question and limited recent conversation context to OpenAI to interpret the language. OpenAI does not set the procedure or create the operational answer. ReadyRoute removes common contact, address, link, and package identifiers before this processing. Drivers receive a one-time notice in the app. An authorized company representative may disable AI interpretation in company settings, and drivers may contact their company or ReadyRoute with questions or concerns.

How we use and share information

We use information to authenticate users, provide and improve RRA, investigate unanswered or low-quality results, protect the service, respond to support requests, and prepare aggregate monthly value reports for participating companies. Company reports are designed to show totals and value, not raw question text. Raw question and answer data is restricted to authorized ReadyRoute personnel. We may use service providers that process data for us under appropriate agreements. We do not sell personal information.

Retention

• Raw question, answer, recent-context, and feedback-comment content is removed after 90 days, except unresolved questions may be kept until resolved and then for up to 90 additional days.
• Feedback ratings and account-level usage metrics may be kept for up to 24 months.
• Authentication and security records may be kept for up to 12 months.
• Aggregate company reports may be kept for the service term and up to 12 months afterward.
• Backups may take up to 90 additional days to cycle out.

Account deletion

Drivers can request deletion at readyroute.org/account.html using their ReadyRoute username or email and password. Requests are scheduled for completion within 30 days and can be canceled before processing. Some de-identified or legally required records may remain.

Security and choices

We use access controls and other safeguards appropriate to the service. Authorized company representatives can change company AI-processing authorization in company settings. Users may contact us about access, correction, deletion, or AI processing.
